Writing Effective Minutes of Meetings  

 

Introduction

This is a practical course which focuses on skills required to record meetings efficiently and to write up the minutes of meetings accurately, clearly and concisely. 

Course Objectives

Participants can expect to:
- Understand and appreciate the importance of well written minutes for their organizations and for themselves
- Learn the skills for record accurately and efficiently the contents of and directions taken at meetings
- Write minutes of meetings that are accurate, clear and concise and which meet the needs and expectations of the organizations
- Write minutes utilizing formal and informal formats for minutes
- Learn the appropriate minutes writing style using the correct grammar, sentence structure, tone and stylistic conventions of the English language

- Purposes and importance of minutes
- Structure of formal and informal meetings
- Role and responsibilities of the minutes-taker
- Relationship of the Agenda to the Minutes
- The Agenda as a framework for guiding and controlling meetings
- Effective note-taking skills
- Organizers, conceptual and visual aids to facilitate note-taking during meetings
- How to listen to discussions objectively and stay focused during heated discussions
- How to listen to extract key information from discussions
- Write minutes that use formal and informal formats
- Use correct grammar and syntax as well as appropriate word choice
- Write concisely, precisely and to the point
- Use a checklist to review contents and language

Methodology
The course will use a hands-on approach to maximize practice. Exercises will be given to reinforce understanding of every topic with actual examples provided by the organization. Participants will be shown good and bad examples of minutes writing and re-write the latter examples to improve them. Immediate feedback is given by the instructor after every practice session. Appropriate videos on minutes-taking may also be shown to stimulate discussion and to reinforce understanding.

Doctor of Education (specialized in Applied Linguistics) University of Leicester, UK.
MA (English language), National University of Singapore
Postgraduate Diploma in Applied linguistics, RELC Singapore

Dr Huang is currently an Adjunct Professor at the S.Rajaratnam School of International Studies (NTU), and was previously a Lecturer at the Language and Communication Centre (NTU). She has conducted courses on Professional Communication Strategies and Skills (including minutes writing), Technical Report Writing, Effective Communication (Principles and Methods), and academic writing courses. She was a former RELC lecturer conducting English courses for MOE and overseas officials, plus she is effectively biligual, teaching Business and Conversational Mandarin for RELC as well.

Dr Huang is also actively involved in translation, particularly in Chinese and English. She has designed and taught courses in SIM such as "Advanced Chinese-English Translation" and "Contrastive Studies of English and Chinese Languages", plus her experience in interpretation and translation is also built on several consultancy assignments for Foreign Companies, as well as local institutions (PSB, DBS Bank, etc).
